Overview

Sustainability Lineup, a product of One Small Step LLC ("we," "us," or "our") operates sustainabilitylineup.com, a curated conference directory for sustainability professionals. This Privacy Statement explains what information we collect, how we use it, and your rights regarding that information.

We keep it simple: we collect only what we need, we don't sell your data, and you can opt out anytime.

Information we collect

We collect information in two ways:

  • Newsletter subscriptions — when you subscribe to The Lineup digest, we collect your email address.
  • Form submissions — when you contact us, suggest an event, or submit a sponsorship inquiry, we collect your name, email address, and any details you provide in the form.

We do not collect any information automatically beyond standard server logs (IP address, browser type, pages visited) which are retained briefly for security and diagnostic purposes.

How we use your information

  • Email address (newsletter) — used solely to send The Lineup digest. We will never use it for any other purpose without your explicit consent.
  • Contact and inquiry forms — used to respond to your message. We do not add form submitters to any mailing list without consent.
  • Event suggestions — used to review and potentially add events to the directory. We may follow up with you about your suggestion.

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

Third-party services

We use the following third-party services to operate Sustainability Lineup:

  • Beehiiv — our newsletter platform. Email addresses collected via the subscribe form are stored and processed by Beehiiv. You can review their privacy policy at beehiiv.com/privacy.
  • Netlify — our hosting provider, which also processes form submissions. You can review their privacy policy at netlify.com/privacy.
  • Google Analytics — provided by Google, used to measure site traffic and understand how visitors use the site. It collects usage data (such as pages viewed, device and browser type, and approximate location) via cookies. You can review Google's privacy policy at policies.google.com/privacy, or opt out using Google's browser opt-out add-on.
  • Airtable — our database platform, used to manage the event directory. Event details, and the contact information of anyone who suggests an event, are stored in Airtable. You can review their privacy policy at airtable.com/company/privacy.
  • Google Workspace — our email provider. Messages you send us, and copies of form submissions, are received and stored in our email accounts. You can review Google's privacy policy at policies.google.com/privacy.

Your rights

  • Unsubscribe — every newsletter email includes an unsubscribe link. You can opt out at any time.
  • Data access — you can request a copy of any personal information we hold about you.
  • Data deletion — you can request that we delete your personal information.

To make an access or deletion request, email info@sustainabilitylineup.com. We will respond within 30 days.

Verifying your request. To protect your information, we can only act on requests we are able to verify. The simplest way is to send your request from the email address it concerns. If you contact us from a different address, we will email the address on file to confirm before taking any action. We will not ask you for identification documents.

What deletion covers. We will remove your information from our newsletter platform, our website form records, our event database, and our email accounts. Copies may persist briefly in our providers' trash or backup systems before being permanently overwritten. Where an event you suggested has been published to the directory, the event listing itself remains — only your name and contact details are removed. We keep a minimal record of the request itself — your email address, the date, and the action taken — so that we can demonstrate we honoured it.

Analytics. Google Analytics data is not linked to your name or email address, so we are unable to locate or delete an individual's analytics record in response to a request. You can prevent future collection through your cookie preferences or Google's browser opt-out add-on.

How long we keep your information

  • Newsletter subscriptions — retained until you unsubscribe or ask us to delete your information.
  • Form submissions — retained for up to 12 months after we have responded, then deleted.
  • Event suggestions — if the event is added to the directory, the event details remain published. The contact information of the person who suggested it is retained for up to 12 months.
  • Email correspondence — retained for up to 12 months, unless we need it longer to resolve an ongoing matter.
  • Server logs — retained briefly for security and diagnostic purposes.

Cookies

Sustainability Lineup uses Google Analytics to understand how visitors use the site. Google Analytics sets cookies that collect usage data such as pages viewed, device and browser type, and approximate location. We do not use advertising cookies. Our hosting provider (Netlify) may also set functional cookies necessary for site operation.

When you first visit, we ask for your cookie preferences. Visitors in the EU and UK are asked to opt in before any analytics cookies are set; elsewhere, analytics is enabled by default and you can opt out at any time. You can also disable cookies through your browser settings or use Google's opt-out add-on.

Changes to this statement

We may update this statement from time to time. Any changes will be posted on this page with an updated date. We encourage you to review this page periodically.
